DATA PROCESSING NOTICE FOR AUTHORS

Pursuant to Regulation (EU) 2016/679 (GDPR) and the national legislation on personal data protection, the online journal International Journal of Psychoanalysis and Education: Subject Action & Society, as Data Controller, provides the following notice on the processing of personal data of authors of articles published in the online journal.

2. Types of Data Processed

In the course of your collaboration with our online journal, we will process the following personal data of the authors:

  • Personal Data: name, surname, date of birth.
  • Contact Data: email address, telephone number (if provided).
  • Professional Data: academic qualifications, profession, work experience, biography.
  • Article Data: article title, content, publication metadata (submission and publication date), photographs or images attached not referring to persons.

3. Purposes of Processing

The personal data of the authors are processed for the following purposes:

  • Publication Management: for the management and publication of articles in the online journal, including editorial review and promotion.
  • Author Communications: to communicate with the author regarding the publication, modifications, or requests related to the articles.
  • Legal and Contractual Obligations: to fulfill fiscal, legal, and accounting obligations, in the case of financial compensation.

4. Legal Basis of Processing

The processing of personal data is based on the following legal bases, pursuant to Article 6 of the GDPR:

  • Performance of a Contract (Art. 6(1)(b) GDPR): the processing is necessary for the performance of the collaboration agreement between the author and the journal (publication of the article).
  • Compliance with Legal Obligations (Art. 6(1)(c) GDPR): in the case of fiscal or accounting obligations arising from the publication and payment of articles.
  • Consent (Art. 6(1)(a) GDPR): for the use of the author's image, biography, or other sensitive data, where required.

5. Processing Methods

Personal data processing is primarily carried out using IT and telecommunication tools. The data are processed in a manner that ensures security and confidentiality, in accordance with the technical and organizational measures provided for by the GDPR.

6. Data Recipients

The personal data of the authors may be communicated to:

  • Internal editorial staff who manage the publication and administrative management.
  • Hosting services or online platforms that host the journal and its content.
  • Payment service providers (if applicable, for payment of compensation).
  • External professionals (such as legal, tax, or auditing consultants), if necessary to fulfill contractual or legal obligations.
  • Other entities or authorities where required by law (e.g., for tax or security obligations).

7. Data Transfer Abroad

Personal data are not transferred outside the European Union, unless necessary for the performance of contracts entered into with the author, and in such case, appropriate safeguards provided by the GDPR will be adopted (e.g., the adoption of standard contractual clauses).

8. Data Retention Period

The authors' personal data will be kept for the time necessary to fulfill the purposes for which they were collected. In particular:

  • Data relating to the publication of articles will be kept as long as the article remains published in the journal.
  • Payment and administrative data will be kept for the time required by tax and accounting regulations (generally 10 years).
  • Data relating to the author's biography and contacts may be kept as long as the author wishes to remain in the journal's author database.

9. Data Subject Rights

As an author, you have the right to:

  • Access your personal data and request a copy.
  • Request the rectification of your personal data if they are inaccurate or incomplete.
  • Request the erasure of data (right to be forgotten) when they are no longer necessary for the purposes for which they were collected.
  • Request the restriction of processing in certain circumstances.   
     
  • Object to the processing of your data for legitimate reasons.
  • Withdraw the consent given, if the processing is based on it, without prejudice to the lawfulness of the processing prior to the revocation.

10. Right to Lodge a Complaint

In the event of a violation of your rights in relation to the processing of your personal data, you have the right to lodge a complaint with the Data Protection Authority (Garante per la Protezione dei Dati Personali) (www.garanteprivacy.it).
